Account Provisioning System

The Challenge
The IT department at a leading university struggled with the process of providing email and network accounts for students, faculty, and staff. The manual process included four members of the staff, thousands of hours, and was wrought with points of failure. The turnaround time for accounts was one week and the process was also a security risk because accounts were never removed even after a user was no longer associated with the school.

The Solution
SCA business analysts worked with the IT staff, Human Resources, and the Registrar to assist in redefining the business process and in setting rules for account setup and removal. An authoritative database was built to synchronize with multiple systems that held the list of active students, staff, and faculty. Connectors were developed using the native APIs for Lotus Notes and Netware to synchronize those directories with the authoritative source. The turnaround time was reduced to under an hour and errors were almost completely eliminated.

Embark Import System

Our Embark Import System (EMIS) solution allows college and university admission offices an efficient way to import applications from the Embark website. Embark, the leader in online application submission, allows college applicants from around the world to submit their application to as many as 700 universities. Many admissions office then print off these applications from Embark and reenter them into their own Admissions systems. This process is extremely slow and also prone to keying errors which can have severe consequences should a GPA score be keyed incorrectly.

The Embark Import System simple interface allows the admissions office to select an Embark export file to be imported into their admissions system. Currently EMIS will import Embark data directly into Exeter’s Student Information System, but can be customized to work with any admissions database.
